FORMS
Use a Scheduled Form to collect data from selected users based on Schedules.
If you are running an unlicensed version of Forms, Scheduled Forms will not be available.
Now right click the category and choose Add -> Scheduled Form to create a form. When a new Form is created it automatically contains the following:
A Distribution list with one Form schedule
A Page where questions will be added
If you want to reorganize the Forms tree, Forms can be moved or copied to different Categories using Cut/Copy/Paste functionality.
This can be done even after a form has been activated.
General
Name - the name "Scheduled Form" is generated automatically but it may be changed
Description - an optional text describing the from
Responsible - the person who is responsible for the Form. Click the icon to the right and choose from the list. More than one person may be set as responsible.
Information
Auto generate nodes – Each question/subquestion must be connected to a node, indicating where the response should be stored in the database. If Auto-generate nodes is checked a new node will be created in the BMP database for each question in the form. The question name will be used as node name, and that node's ID and Name will be entered into the question's node field. The question name will be used as node name. After the node has been created the Auto-generate nodes checkbox will be disabled.
If the Name field for a question is empty, the Question text field will be used as
node name.
If you want to use nodes that are already in the database, uncheck Auto-generate nodes. Then you can specify which node to use under each question/subquestion you create.
If Auto-generate nodes is checked it is not necessary to specify nodes on any question in the Form. If it is not checked you must specify nodes on all questions. You can however, specify nodes even if Auto-generate nodes is checked. That will force the use of the node(s) you specify, and no new node will be generated for that question.
When new questions are added to a form after it has been distributed and Auto-generate nodes is checked new nodes will be auto-generated
for these new questions at the next distribution. Before each distribution there is a check whether the nodes exist.
Parent node – the node under which all the auto-generated nodes in the form should be created
When nodes are auto-generated a structure is created with the node specified here as the starting point. For each question in the form a new node is created directly
below this node, and for each subquestion, e.g. in a Matrix question, a new node is created below the question's node.
Status
Distribution status - the status of the form (information only); available statuses are:
Draft - under construction
Pending - waiting for distribution
Started - activated
Stopping - stopped but waiting for respondents to complete
Stopped
Completed - all finished
Layout
Page layout
Row layout
One column layout
Two column layout
Show Information bar - mark the box to include the bar containing information about the form (Form name, organization, dates, status) at the top. This box is marked by default.
Page validation - if the box is checked, all questions on the page will be validated and it will not be possible to move to the next page before all errors are corrected; if not checked validation will be performed on the whole form when Submit is clicked
Save temporarily - if this option is on, the Save temporarily button will appear in the form on the web and users can save current answers temporarily and submit the form later
Distribution
Show reminder on user login - mark the box if a reminder about forms that are overdue should be shown on user logon
Audit
Modified by - the name of the last user to make changes to the object.
Last modified - the date and time when the object was last changed.
Created by - the name of the user who created the object.
Created - the date and time when the object was created.
ID
ID - a unique ID for the object.
By
default, Corporater BMP assigns consecutive numbers to new objects.
You can change the ID to a value of choice that can include either letters or letter and number combinations.
The ID mustn't contain only numbers, include special characters such as ) ( . * } { + < > [ ], or match the name of a default object type in Corporater BMP.
Access control
Read accessors - click the Edit button () and authorize one or more users and user groups to view the object on Web.
Add accessors - click the Edit button() and authorize one or more users and user groups to add new objects to the object on Web.
Write accessors - click the Edit button() and authorize one or more users and user groups to edit the object on Web.
Delete accessors - click the Edit button() and authorize one or more users and user groups to delete the object on Web.
Ownership - click the Edit button () and grant ownership of the object to one or more users and user groups.
Users and user groups who own the object have full access rights to it.
Override access profile - select for the object's access control setting to outrank the object's corresponding access settings in profiles.
Next, add the questions the form should contain by right clicking a page and choosing Add and the desired element. You can choose from the following elements to add to a Page:
