TRANSFORMER
You can use a Form list target to import and maintain Distribution lists and Approval lists in the Forms model via Excel files. You may access any preexisting Distribution lists, Scheduled distribution lists, or Approval lists in the Forms model, i.e. both Distribution lists and Scheduled distribution lists.
To create a Form list target, right click in the Transformer design panel, choose Target -> Distribution Form list target. Connect it to the previous process as described in Processes. Double click on it to configure.
General
Name - the name "Form list target" is generated automatically but it may be changed
Description - an optional text describing the target
Configuration
Use list column - if checked a column in the source containing list IDs will be used; if not checked you can select which Distribution lists to use in Distribution lists Lists below
List column - select the column that contains the IDs of the lists that should be changed (only when Use Distribution list column is marked)
Delete existing - if checked, all the existing entries in the selected lists will be deleted before new entries are loaded (only when Use Distribution list column is not marked)
Lists - select one or more existing lists that are to be changed (only when Use Distribution list column is not marked)
User/Group - select the column in the data source that contains the IDs of the users or groups to process; the users/groups to be added must already exist
User/Group resolution - how any conflicts in the user/group column should be resolved, if a group and user have the same business ID
Users only - look only for users with given ID
Groups only - look only for groups with the given ID
Users then groups - look first for a user with the ID; if not found look for a group
Groups then users - look first for a group with the ID; if not found look for a user
Use context organization - if checked, "this.organsation" will be added and the organization from the context will be used; if not checked a column in the source containing the Organization IDs will be used
Organization - select the column containing the organization IDs
Add/Delete column - use a column in the source to specify whether a user or group should be added or removed from a list; this column must contain either "TRUE" or "FALSE"
When using an Excel file as source, a column containing TRUE or FALSE in capitals will be considered Boolean, and Transformer will give empty rows in the column the
value FALSE.
If the entire column is empty, it will be considered to be String, and the value will be empty = TRUE. See
Excel source for more information on formatting.
If your source does not contain a column with TRUE and FALSE values, you can create a new column with these values, based on other values in the source. Add a
Calculation process and with a new
Result field. For example, all rows where
Number is less than four should be given the value "TRUE".
In the
Function field enter
${Number} < 4.0. Transformer gives empty rows in the column the value "FALSE".
Audit
Modified by - the name of the last user to make changes to the object.
Last modified - the date and time when the object was last changed.
Created by - the name of the user who created the object.
Created - the date and time when the object was created.
